Medical Billing GHL Lead Intake & Follow-Up Automation

Portfolio Demonstration

A GoHighLevel-based medical billing lead intake and follow-up system that captures inquiries through a funnel, creates and organizes opportunities, notifies the internal team, sends structured follow-ups, and passes lead information through n8n for Google Sheets logging.

Problem

Medical billing inquiries submitted through a landing page needed to be captured as organized opportunities, routed to the internal team, followed up with structured messaging based on lead intent, and logged centrally without manual tracking.

System Design

A GoHighLevel funnel and lead-nurture workflow creates opportunities, notifies the internal team, confirms the inquiry, branches by lead intent, and hands the lead off through an n8n webhook to a Google Sheets log.

Workflow Stages

  3. 03Medical billing opportunity creation
  4. 04Internal team notification

Tools Used

  • GoHighLevel
  • n8n
  • Google Sheets
  • Webhooks
  • Email
  • Internal Notifications

Safety & Human Review

  • Screenshots show workflow structure and configuration only — no real lead or patient data is shown
  • Business name, personal account name, and workflow-internal identifiers redacted from all published screenshots
  • Logging-only n8n hand-off — no outbound send actions occur outside GoHighLevel's own notification/follow-up steps shown

Implementation Evidence

Real screenshots of the working system — collapsed by default so this page stays readable.

Limitations & Confidentiality

This demonstrates lead intake, opportunity creation, notifications, follow-up branching, and the n8n-to-Sheets hand-off shown in the screenshots. It does not represent a complete medical billing CRM, and does not include claims processing, insurance verification, patient-data processing, or any pipeline automation beyond what these screenshots prove. No revenue, conversion, or performance outcomes are claimed.

The originating business name has been replaced with a neutral label everywhere it appeared in these screenshots, and the personal account name shown in GoHighLevel's workflow list has been cropped out. No webhook URL, spreadsheet ID, credential, or real lead/patient data is shown in any published image.

What I'd Improve Next

Advanced pipeline routing across multiple deal stages, additional email/SMS follow-up sequences, review-request automation after a completed inquiry, and expanded reporting on lead volume and follow-up outcomes — none of these are built or verified yet.

I'll tell you honestly whether automation is the right fix.
